When an auditor asks for calibration, they are not just asking whether the instrument was checked. They want to know that it was checked against a reference whose accuracy can be traced, through an unbroken chain, back to a national standard. That is what traceable calibration means — the certificate links your instrument to a reference, that reference to a higher one, and so on up to the national standard. A calibration done against an unknown or uncertified reference is not traceable, and an auditor will treat it as no calibration at all.
In a quality-audited plant, the physical instrument and its calibration certificate are equally important — an instrument you cannot produce a certificate for is a finding. A good certificate shows what was calibrated, against what reference, on what date, with what result (the readings and errors), and by whom. Keep these certificates organised and retrievable, because an audit is exactly when you do not want to be hunting for paper. Buying instruments that arrive with traceable certificates from the start saves this scramble.
Calibration is not a one-time event. Instruments drift, and a certificate from three years ago proves nothing about today. Auditors look for a recalibration schedule — a defined interval at which each instrument is recalibrated — and evidence it is being followed. The interval depends on the instrument, the duty and how critical the measurement is. Set intervals, track due dates, and recalibrate before they lapse, so every instrument in service has a current certificate.
The recurring audit findings are simple to prevent: instruments in service with no certificate; certificates that are out of date because recalibration lapsed; calibration done against a reference with no traceability; and certificates that cannot be located when asked for.
